Bookkeeping for Grocery Stores and Supermarkets

A grocery store runs on hundreds of small sales a day, frequent vendor deliveries and thin margins. The books have to keep up. SB Tax & Accounting offers monthly and catch-up bookkeeping from our office in Aurora, and the same service fits a neighborhood market or a supermarket.

What makes grocery bookkeeping different

Sales come from the register every day, so the books should be built from your POS reports, not estimates. Vendor invoices arrive weekly or more often, and each one needs to land in the right expense category. The IRS expects records that support every figure on your return (IRS recordkeeping), and in a high-volume store that means keeping up month by month.

Sales tax adds another layer. Colorado exempts food for home consumption at the state level, but some home-rule cities do not (Colorado DOR). A store can owe city tax on items the state does not tax, so your POS categories and your books need to separate taxable and exempt sales. Our sales tax service files the state and home-rule city returns from those same numbers.

A simple month-end routine for a store

Whoever keeps the books, the same few steps keep a grocery store's numbers honest. Match each day's register report to the card batches and cash deposits that hit the bank. Enter every vendor invoice and mark it paid when it clears. Split the month's sales into taxable and exempt totals before the sales tax return is due. Then read the profit and loss, so a jump in costs shows up this month instead of at tax time.

What monthly bookkeeping includes

We work with QuickBooks and similar ledgers and with the sales reports your POS produces. If you have no system at all, we set one up as part of onboarding. Details are on our bookkeeping service page.

Behind on the books?

Catch-up bookkeeping is normal work for us. We rebuild the books from bank statements and sales records, reconcile them and hand you a clean starting point. If sales tax returns have slipped too, our Colorado sales tax filing service covers back filings and penalty resolution.
